Summary

KickstartAI and KLM are working together on the Bill Checker, a generative AI solution that  automates vendor invoice verification to reduce manual workload and ensure payment precision.

The challenge

KLM processes and pays thousands of vendor invoices each year, which requires the Payment team to carry out several manual checks. While essential for accuracy and timely payments, this work is time-consuming, repetitive, and subject to significant workload peaks around the middle and end of the month.

To address this, KLM and KickstartAI are developing the Bill Checker – a generative AI solution designed to support the Payment team in this process.

Goal

The project aims to develop a GenAI tool for automated invoice verification. If manual reviews are still required, the Payment team can efficiently inspect invoices within the user application.

Approach

The project consists of three phases:

1. Use Case Identification: Understand the current process in depth, define the core problem, and establish a clear business case for the proposed solution. 

2. Solution development: Design and build the solution, including prompt engineering for invoice verification, application development for user interaction, and the end-to-end pipeline from invoice retrieval to result presentation.

3. Implementation and Adoption: Integrate key systems for payment data and invoice storage, deploy the solution to production, and work with the Payment team to ensure smooth rollout and adoption in daily operations.
